Plan for your exhibition

When it comes to taking part in an exhibition you can very quickly run out of time in the run up to the event.  The amount of time it takes to plan an exhibition is often overlooked and many event organisers find the process unnecessarily stressful.  To cut down on the panic and issues created by poor planning schedule in your diary to meet up with key exhibition team members a good four months before the show date.  This will give you and the team time to consider what needs to be down and reduce the potential for stress to rise.  Not only will you avoid running round like a headless chicken you will avoid having to pay for unnecessary expenses.

First and foremost appoint someone to manage the deadlines as a co-ordinator.  This person should be responsible for managing the dates and have overall responsibility for meeting deadlines. 

Next map out a list of tasks from booking space, to buying display stands to choosing the exhibition manning team.  Allocate responsibility to various people within the team and make sure people stick to their tasks and deadlines.  Write up the exhibition plan and make sure all key personnel have a copy. 

It’s wise to have regular meetings to ensure that deadlines are met and to discuss any issues.  In a busy office it’s easy to let time pass you by but last minute bookings and changes can cost your marketing budget dearly.
